HelmXP organizes every credit union into a four-tier structure called the Crew model. Every feature — from AI drafting to approval workflows to board delivery — maps onto this structure.
Why this matters before you sign up: the Crew model determines who can author content, who reviews it, and who receives it. Understanding it takes three minutes and removes every support question about permissions.
Captains are board members. They receive the board briefing, leave comments, vote on courses, and set strategic direction. Captains never author sections — that is the executive team's job. They get full read and comment access, not a watered-down viewer role.
Every Hub has exactly eight executive Seats. Seat 1 is always the CEO. Seat 2 is always the CFO. Seats 3 through 8 are swappable from a menu of standard roles: COO, CLO, CHRO, CMO, CXO, CRO, CTO, CISO, CIO, CDO, CSO, General Counsel, Chief Audit Executive, Chief Compliance Officer, and Chief of Staff.
One person can hold multiple Seats. At smaller credit unions, the CEO may also hold the role of another executive. HelmXP supports that.
The eight-Seat structure is fixed by design. The briefing has eight sections — one per Seat — and the Wheel (the main dashboard) assumes eight positions.
Each Seat can have up to five Sub-seats — the VPs, directors, and analysts who draft content for their executive. Sub-seats submit drafts upward; the Seat reviews and signs off. Up to 40 contributors total per institution.
The Hub is the institution itself. It holds the data connections, the briefing archive, the strategic chart, and the audit logbook. Every query, every file, every AI draft is scoped to the Hub.

The Wheel is the Seat's home screen. It shows all eight Seats with status indicators — Draft, In Review, Approved — and the number of days to the board meeting. It is the one screen your executive team will open every morning in the two weeks before a meeting.
The Logbook is the append-only audit trail beneath all three workflows. Every approval, every edit, every AI generation, every Captain comment is timestamped and attributed. The Logbook is NCUA examiner-defensible by design.
